Privacy policy

Ring is a hotel and guest house management system provided by Abdul Sameeu Imad (Ukulhas, Maldives), called "Ring", "we" or "us" in this policy. This policy explains what information Ring keeps, why, who else handles it, how long it is kept and what you can ask for. It covers: guests, and anyone who writes to a property that uses Ring; property staff and owners who use Ring on the web or in the Ring app; travel agents who use the Ring agent portal; visitors to ring.properties.
Who is responsible
- Guest information: each hotel or guest house that uses Ring (a "property") decides how its guests’ information is used and is responsible for it. Ring stores and processes that information on the property’s behalf, only to provide the service.
- Accounts: for staff, owner and agent accounts, and for this website, Ring is responsible.
Information about guests
When you book a stay, or write to a property that uses Ring, the property may keep:
- your name, phone number, email address, country and language;
- messages you exchange with the property on WhatsApp, email, Instagram, Facebook Messenger, TikTok, Telegram, LINE, iMessage, the property’s website chat or other channels it connects, and the name and profile ID that service shares;
- your booking: dates, room, guests, prices, payments, requests, transfers and flight details;
- identity document details (for example passport name, number, nationality and date of birth) that the property must record at check-in by law, and a signature on the stay agreement;
- dietary needs or allergies you tell the property, so its kitchen can prepare for you.
Why: only so the property can reply to you, make and manage your booking, arrange your transfer, prepare your stay, bill you, and meet its legal duties, such as guest registers and tax records.
Messages from Facebook, Instagram and TikTok
When a property connects its Facebook page, Instagram business account or TikTok business account to Ring, the messages you send to that account, and your public name on it, reach the property’s team in Ring so they can reply. Ring reads only those direct messages: not your posts, friends, followers or other activity. Replies are sent only by the property’s staff, within the time those services allow.
Information about staff, owners and agents
When you use Ring or the Ring app, we keep:
- your name, email address, phone number, role and the properties you work for;
- sign-in records, and what you do in Ring (for example who changed a booking and when), so the property has a reliable history;
- for the Ring app: a push notification token, so your phone can receive alerts for jobs, bookings and approvals, and basic device information (model and app version) to keep the app working;
- camera: the Ring app uses your camera only when you choose to scan a passport, an ID or a payment slip. Pictures are used for that task and are not taken in the background;
- for agents: your agency’s details, agreement, bookings, payments and messages with the property.
Why: to give you access to the right property, send you the alerts you need, keep a record of changes, and support you.
Ask Ring (artificial intelligence)
- Where it runs: Ask Ring runs on Ring’s own servers. Your questions and your property’s information are not sent to outside AI companies.
- How it learns: Ask Ring learns from corrections your team makes. A manager approves what it learns.
- What it never memorises: prices and dates. It reads those fresh from your property each time.
- Learning records: these are stripped of personal details and kept for up to 180 days.
What we never do
- We never sell personal information.
- We never use it for advertising.
- We never share one property’s guests with another property.
Who else handles information
Ring uses a small number of trusted services, only as needed to run Ring:
- Hostinger: Servers that host Ring and its database
- HotelRunner: Channel manager connecting the property to Booking.com, Expedia and other booking sites
- Bank of Maldives, Maldives Islamic Bank: Payment links and card payments the guest chooses to use
- Meta (WhatsApp, Instagram, Messenger), TikTok, Google (Gmail), Telegram, the guest’s email provider: Carrying messages the guest or property chose to send through them
- Resend: Sending account emails such as staff invitations
- Apple and Google: Delivering push notifications to the Ring app
- Their own policies: each of these services handles information under its own privacy policy.
- Third parties the guest asks for: a property may also share booking details with a transfer, boat or tour operator the guest asked for.
- The law: we may disclose information if the law requires it.
How long information is kept
- Bookings, bills and messages: kept while the property needs them to serve you, and as long as the law requires the property to keep records (often five years for tax). After that, they are deleted or made anonymous.
- Staff accounts: removed when the property removes the person. The history of changes they made stays with the property’s records.
- Backups: kept for a limited time for safety. Deleted information disappears from backups within 35 days.
Security
- Restricted access: information is kept on servers with restricted access and encrypted connections (HTTPS).
- Stored securely: passwords and connection keys are stored securely.
- Scoped to each property: staff see only the properties they work for.
- Backups: we keep regular backups so information can be recovered after a fault.
Your rights and choices
- Guests: you can ask to see, correct or delete your information. Contact the property you stayed with, or email us and we will pass your request on and help. See Data deletion for how.
- Staff, owners and agents: you can ask to see, correct or delete your account. In the Ring app, use Your account › Delete my account, or ask your property’s administrator or us.
- Notifications: you can turn push notifications off in your phone’s settings.
We reply within 7 days.
Website and cookies
- Cookies: ring.properties uses only the cookies needed to keep you signed in. There are no advertising or tracking cookies.
- Demo form: if you send a demo request, we use your details only to contact you about Ring.
Children
Ring is a business tool and is not meant for children. Information about children who stay at a property, for example the ages or passport details the law requires at check-in, is recorded by the property for its guest register only.
Changes
We may update this policy. The date at the top shows the latest version. For important changes, we will tell properties in advance.
